EXPO Regulations

for exhibitors during the triathlon event.

1. General provisions

  • The regulations apply to all tenants of the Expo space (hereinafter referred to as "exhibitors") during the JBL Triathlon Sieraków 2025 event.
  • The entity renting out the EXPO areas is the organizer/co-organizer/partner of the JBL Triathlon Sieraków 2025 event: KS TRI TOUR – Klub Sportowy TRI TOUR, based in Dąbrowa, ul. Bukowska 41, 62-070 Dąbrowa, registered in the sports club registry by the Starosta of Poznań under number EKS-175, REGON: 302592538; NIP: 9721247020. Correspondence address: ul. Bukowska 41, 62-070 Dąbrowa.
  • Postanowienia niniejszego Regulaminu są integralną częścią Umowy Najmu Powierzchni EXPO podczas zawodów JBL Triathlon Sieraków 2025

2. Applications

  • Applications for renting Expo space during the JBL Triathlon Sieraków 2025 are made by submitting the registration form available on the respective event websites to the email address: kontakt@tritour.com.pl.
  • An exhibitor who registers for the Expo up to 30 days before the event will be eligible for a promotional offer. The Organizer reserves the right to close registrations earlier if the exhibition space is fully booked.
  • The organizer will send confirmation of the order or refusal to rent the EXPO space electronically to the email address provided by the applicant within 14 days of submission. If the order is accepted, the organizer will send the exhibitor the EXPO space rental agreement for signing, which is an annex to these Regulations.
  • Submitting the registration form and signing the EXPO space rental agreement, which is an annex to these Regulations, constitutes acknowledgment and acceptance of these Regulations.
  • The reservation of space occurs after signing and returning the EXPO space rental agreement to the organizer and making payment for the selected space based on the issued proforma invoice. Failure to pay the invoice within the specified deadline will result in the annulment of the agreement, and the space will be re-listed for sale.
  • In case of withdrawal from participation, the exhibitor is required to send a written resignation to the organizers at kontakt@tritour.com.pl. Depending on the timing of the resignation, the Organizer is entitled to a contractual penalty as follows:
    1. 60 days before the event starts: 50% of the signed contract value.
    2. Less than 21 days before the event starts: 100% of the signed contract value.
  • The organizer may refuse participation to an applicant without providing a reason. The refusal will be sent within 14 days to the exhibitor’s email address provided in the registration form.

3. Dates and location of the EXPO

  • The EXPO will take place during the JBL Triathlon Sieraków 2025 on the following dates:
    1. The Sieraków event Expo will take place from May 29 to June 1, 2025.
  • Date, location, opening hours of the Expo zone, and rules applicable in the zone.
  • Sieraków, May 29 - June 1, 2025 TKKF Stadium, Poznańska 27, 64-410 Sieraków
    1. May 29, 2025, from 4:00 PM to 9:00 PM
    2. May 30, 2025, from 7:00 AM to 9:00 PM
    3. June 1, 2025, from 8:00 AM to 3:00 PM
  • Booth setup hours:
    1. May 29, 2025, from 12:00 PM to 4:00 PM
    2. May 30 - June 1, 2025, until 7:00 AM
  • Booth dismantling hours:
    1. June 1, 2025, from 3:00 PM

4. Conditions for renting space

  1. Cost of Booth Rental During JBL Triathlon Sieraków 2025
    SIERAKÓW
    Up to 30 days before the event: 100.00 PLN net / m²
    *A flat-rate booth fee applies; the offer refers to the price per m² for a booth space of 3x3 m².*
  2. The pricing for all services is available on the website www.triathlonsierakow.pl under the "EXPO" section and is specified in point 4. The price includes the cost of a 230V electrical connection (one outlet per Exhibitor). VAT will be added to the prices specified in section 1 in accordance with applicable regulations.
  3. Exhibitors in the food and beverage industry are subject to additional fees for power connections and waste removal.
  4. The booth is considered reserved upon receipt of the signed EXPO space rental agreement from the Exhibitor along with proof of payment.
  5. Reserved booths will be continuously marked on the event's Expo plans.
  6. Exhibitors are required to set up their booths on the date and time specified by the Organizer for each event, as stated in the agreement, and to leave the Expo on the designated day and time according to the agreement. Setup times will be strictly enforced, and the Organizer reserves the right to deny booth setup if the Exhibitor arrives late.
  7. The Exhibitor is required to maintain cleanliness at their booth during the Expo and, after the event, clean up the booth and dispose of waste in the designated area assigned by the Organizer. If waste is left behind or any damage occurs at the Exhibitor's location, the Organizer reserves the right to charge the Exhibitor for cleaning or repair costs, which will be invoiced separately.
  8. The Expo area is defined on the Expo plan, with all measurements provided in meters. Exhibitors are required to adhere to the dimensions of their designated space and not exceed its boundaries. Failure to comply may result in the Organizer removing items placed outside the assigned booth area or charging a fee of 300 PLN/net per square meter for the additional space used.
  9. The Exhibitor has the right to promote their booth only within its designated boundaries. Any advertisements extending beyond the assigned area or placed elsewhere within the Expo grounds or at the entrance will be removed. The Organizer reserves the right to charge a fee for the additional space used.
  10. The Exhibitor is not allowed to sublease the rented exhibition space to other entities without prior written consent from the Organizer.
  11. The Exhibitor is not allowed to perform any actions that would result in permanent changes to the rented space (such as drilling, gluing, or attaching items in a way that leaves marks). Exhibitors will be charged for any repair costs incurred by the Organizer.
  12. If the Exhibitor fails to return the signed EXPO space rental agreement and does not make the payment for the EXPO booth within 7 days of receiving the rental agreement and invoice via email, they will be removed from the list of EXPO participants, and the reserved space will be made available for sale again.
  13. Payments for renting EXPO space are to be made exclusively via bank transfer to the Organizer's account specified on the invoice.
  14. The Organizer reserves the right to change the location of the booth/space ordered by the Exhibitor only in case of emergencies.
  15. The Organizer will make every effort to inform the Exhibitor of any changes in a timely manner.
  16. The Organizer reserves the right to place general information and infrastructure elements within the booth area.
  17. The organizer reserves the right to film and photograph the exhibition of goods and services displayed at the EXPO and use these materials for the organizer's advertising and marketing purposes.

6. Protection and Liability

  1. The exhibitor bears all costs for any damages caused by themselves or individuals associated with them in any way.
  2. The exhibitor is fully responsible for their booth and all items located in and around it.
  3. The organizer may require the exhibitor to remove dangerous items from the booth or its surroundings.
  4. The organizer is not liable for items left at the booths or for damage to exhibitors’ property caused by third parties.
  5. The organizer provides external supervision of the EXPO grounds during the hours when the EXPO is closed.
  6. The organizer does not provide individual booth security during the EXPO or after its closing hours and is not responsible for items left at the booths.
  7. The organizer is not liable for damages caused by force majeure.
  8. The organizer reserves the right to cancel, partially close, or temporarily shorten the duration of the EXPO due to circumstances beyond their control. In such cases, no refund or reduction of previously paid fees will be granted.

7. Exclusions Applicable During EXPO TRI TOUR

  1. The EXPO has a categorical ban on the sale and promotion of products and services whose use is legally prohibited. Failure to comply with these requirements will result in the exhibitor being removed from the EXPO grounds without reimbursement of incurred costs.
  2. At the EXPO, the promotion of events and the sale of event packages that compete with the Ciech Tri Tour cycle are prohibited.
  3. The Organizer reserves the right to deny permission for the promotion or sale of Exhibitor’s products if they are deemed competitive with the products or services advertised or sold by the sponsors or partners of individual events within the TRI TOUR cycle.
  4. Failure to comply with the provisions of points 1-4 will result in the removal of the exhibitor's booth from the EXPO without reimbursement of incurred costs.

8. Additional Provisions

  1. Exhibitors are not allowed to use the TRI TOUR cycle logos; this privilege is reserved exclusively for the event's partners and sponsors.
  2. The registration form and the EXPO space rental agreement constitute an integral part of these Regulations.
  3. The final interpretation of the Expo regulations in the TRI TOUR cycle belongs to the Organizer.
  4. The organizer reserves the right to make changes to the Regulations, which will be communicated to Exhibitors via email.
